Reservoir Hotel Partners, LLC ("we," "us," or "our") operates XStay Suites Mansfield and the website located at https://xstaysuites.com (the "Website"). This Privacy Policy explains what personal information we collect through the Website, how we use and share it, and the choices and rights you have. By using the Website, you agree to the practices described in this Privacy Policy.

Information We Collect

Information you give us. When you submit our contact form, we collect the information you provide. This typically includes your name, email address, phone number, and the content of your message.

Reservation information. Online reservations are processed by our booking partner, SiteMinder, on its booking platform at direct-book.com. When you make a reservation, SiteMinder collects your booking details, including your name, contact information, stay dates, guest preferences, and payment card information. SiteMinder then shares the details we need to fulfill your stay with us. Payment card information you enter on the booking platform is processed by SiteMinder and its payment partners. It is not collected or stored by the XStay Suites Website. SiteMinder's handling of your information is also governed by SiteMinder's own privacy policy.

Information collected automatically. When you visit the Website, we and our service providers automatically collect certain information about your device and your use of the Website. This includes:

  • your IP address, browser type, operating system, and device identifiers;

  • the pages you view, the links you click, how long you stay, and the website that referred you; and

  • your general location, derived from your IP address.

We collect this information using cookies, pixels, tags, and similar technologies, as described below.

Cookies and Tracking Technologies

We use the following technologies on the Website:

  • Squarespace. Our Website is hosted on Squarespace. Squarespace uses cookies that are necessary for the Website to function, along with cookies that provide us with basic site analytics.

  • Google Analytics. This service helps us understand how visitors find and use the Website.

  • Google Tag Manager. We use this tool to manage the tags and scripts that run on the Website.

  • Google Ads. This service measures the effectiveness of our advertising and shows our ads to people who have visited the Website.

  • Meta Pixel. This tool from Meta Platforms, Inc. measures the effectiveness of our Facebook and Instagram advertising and shows our ads to people who have visited the Website.

  • Service providers. We share information with companies that perform services for us, including Squarespace (website hosting and forms), SiteMinder (reservations), and Google and Meta (analytics and advertising).

  • Advertising partners. Our use of Google Ads and the Meta Pixel allows those companies to collect information about your activity on the Website for targeted advertising. Under some state privacy laws, this may be considered a "sale" or "sharing" of personal information. You can opt out as described under "Your Privacy Rights" below.

  • Affiliates. We may share information with our affiliated companies, including the hotel's management company, as needed to operate the hotel and provide our services.

  • Legal and safety reasons. We may disclose information when we believe in good faith that disclosure is required by law or legal process. We may also disclose it to protect the rights, property, or safety of our guests, our employees, us, or others.

  • Business transfers. If we are involved in a sale, merger, financing, or transfer of all or part of our business, personal information may be transferred as part of that transaction.

Your Privacy Rights

Depending on where you live, you may have some or all of the following rights regarding your personal information:

  • Access: to confirm whether we process your personal information and to obtain a copy of it.

  • Correction: to correct inaccurate personal information.

If we deny your request, you may appeal by replying to our decision or by emailing admin@xstaysuites.com with "Privacy Appeal" in the subject line. We will not discriminate against you for exercising any of your privacy rights.

Global Privacy Control. We treat a Global Privacy Control (GPC) signal from your browser as a valid request to opt out of targeted advertising and of the sale or sharing of your personal information for that browser, where required by law.

Do Not Track. Some browsers send "Do Not Track" signals. There is no common standard for responding to these signals, so the Website does not currently respond to them. We do honor GPC signals as described above.

Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this Privacy Policy. This includes meeting our legal, accounting, and tax obligations, resolving disputes, and enforcing our agreements. When information is no longer needed, we delete it or de-identify it.

Data Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information. This includes the safeguards required under Massachusetts data security regulations (201 CMR 17.00). However, no method of transmission over the internet or of electronic storage is completely secure, and we cannot guarantee absolute security.

Children's Privacy

The Website is not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us at admin@xstaysuites.com and we will delete it.

The Website contains links to third-party websites and services, including our SiteMinder booking platform and our social media pages. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.

Visitors Outside the United States

The Website is operated in the United States and is intended for use in the United States. If you access the Website from outside the United States, your information will be transferred to, stored in, and processed in the United States.

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the Effective Date above. If we make material changes, we may provide additional notice.
